Heineken Slovensko digitalizes its internal processes by implementation of a cloud application

Heineken Slovensko, a leader on the Slovak beer market, has gained a modern cloud solution for approving and settlement of business trips. Thanks to the application based on the Microsoft SharePoint Online platform, we have digitalized Heineken´s internal processes what has brought numerous benefits to the company.


After we implemented a CRM system for Heineken Slovensko in the past, the company decided to continue in digitalization of its processes and make process of submitting requests for approval of business trips and related prepayments, as well as their subsequent settlement, more effective.

Since the management was interested in automation of internal processes and replacement of paper form of business trips approval by a modern solution, we suggested implementation in a cloud application, which could solve their situation.

The innovative application based on Microsoft SharePoint Online covered the entire process of approving business trips and at the same time preserved approval processes specific for Heineken Slovensko.

By implementation of the Travel Expenses tool, we have gained a more effective form of travel expenses approval procedure and eliminated related paper documentation. The approver as well as the applicant have all important information in the electronic form with access to it anytime and from anywhere, since the tool works also on mobile devices. The employees receive pre-set notifications, so the system notifies them on the status of their requests. The most important benefit of the solution lies in the speed of the entire process, automation of approval and subsequent transfer of the information into ERP systems, what, at the end of the day, has made the entire process more effective. The project was managed by the agile methodology and divided into 2 parts.

The first part of the project contained:

  • detailed analysis of customer requirements;
  • solution proposal;
  • application development;
  • development of 2 forms: Request for approving a business trip and Request for prepayment.

The second part of the project contained:

  • import of statements of accounts;
  • reporting and export of selected data into the accounting system;
  • development of 1 form: Request for business trip settlement.

The Cloud application has brought Heineken Slovakia the following benefits:

  • a unified tool for submitting requests for approving business trips, assigning prepayments and business trip settlement;
  • digitalization of the multilevel approval process;
  • elimination of manual data inputs;
  • access to the application anytime and from any device;
  • interconnection with the accounting system;
  • a possibility of accounting control;
  • data for managerial reporting;
  • insertion of various types of attachments to the requests;
  • a possibility of printing the forms.

In the future, delivered application can be extended by another form types according to the client´s requirements.
